Document destruction for schools, kindergartens and universities

Data about pupils and parents enjoys special protection — the GDPR treats children's data as requiring particular care, and school records have strictly defined retention periods. Ekotechnika collects documents from the school office, destroys them in line with DIN 66399 and issues a destruction certificate for the governing body. More than a dozen schools and preschools from Warsaw and the Mazovia region work with us.

What makes school records different

  • Grade sheets are kept for 50 years, class registers for only 5 — mistakes are easy to make, so it pays to rely on a list of retention periods before weeding.
  • Written tests, quizzes and the admission files of unsuccessful candidates pile up for years even though they can be destroyed quickly — the main clutter in school archives.
  • Records of psychological and pedagogical support contain health data — their destruction requires security level P-5.
  • The school office has no time for a shredder — destroying a dozen or more bags of documents with an office shredder takes days of work; we take everything in one trip.

What we provide

We invoice schools with deferred payment terms and schedule collections so that they do not disrupt the school office — including winter and summer breaks, the easiest time for an archive clean-up.

  • Collection from your premises — we pick up the documents anywhere in Warsaw and the Mazovia region; you do not need to transport or pre-sort anything.
  • Destruction to the DIN 66399 standard — security level P-4 as standard, and P-5 for specially protected data.
  • Destruction certificate — a document stating the date, scope and method of destruction, ready to present during an inspection by UODO, the Polish data protection authority.
  • Secure document containers — under ongoing cooperation we leave lockable containers on site and exchange them at an agreed rhythm.

How it works

  1. Contact and quote — by phone or e-mail; an approximate volume is enough (the number of binders, bags or linear metres of files).
  2. Collection — we arrive at the agreed time, weigh the documents and secure them for transport.
  3. Destruction and certificate — the documents are destroyed in line with DIN 66399 and you receive a destruction certificate for your GDPR records.
