Document destruction for law firms, notary offices and bailiffs
Files of closed cases remain covered by professional privilege even after the retention period expires — they must not end up in the paper recycling or an ordinary bin. Ekotechnika collects legal records straight from offices in Warsaw and the Mazovia region, destroys them so that their content cannot be recovered and issues a destruction certificate. We regularly serve dozens of law firms, notary offices and bailiff offices.
What makes law firm records different
- Attorney–client privilege does not expire when a case is closed — the way the files are disposed of must protect it just as their storage did.
- Case files contain the data of many people at once — parties, witnesses, attorneys — including specially protected data, for which we use security level P-5.
- A destruction certificate is part of GDPR accountability and proof that the files did not leave the firm in an uncontrolled way.
- Archive clean-ups are rare and bulky — after a review of the archive, dozens of binders often go for destruction at once; we take the whole lot in a single run.
How long a law firm keeps its files
The most common periods for law firm records — the full table is available in our free calendar:
| Type of document | Retention period |
|---|---|
| Files of closed cases (advocates, attorneys-at-law) | 10 years from the end of the case |
| The firm's accounting records | 5 years |
| Personnel files (employed from 2019) | 10 years |
| Powers of attorney and court correspondence | together with the case file |

We know that case files cannot wait for destruction in a shared warehouse. Legal records are destroyed promptly after collection, and for particularly sensitive cases we agree on security level P-5.
- Collection from your premises — we pick up the documents anywhere in Warsaw and the Mazovia region; you do not need to transport or pre-sort anything.
- Destruction to the DIN 66399 standard — security level P-4 as standard, and P-5 for specially protected data.
- Destruction certificate — a document stating the date, scope and method of destruction, ready to present during an inspection by UODO, the Polish data protection authority.
- Secure document containers — under ongoing cooperation we leave lockable containers on site and exchange them at an agreed rhythm.
How it works
- Contact and quote — by phone or e-mail; an approximate volume is enough (the number of binders, bags or linear metres of files).
- Collection — we arrive at the agreed time, weigh the documents and secure them for transport.
- Destruction and certificate — the documents are destroyed in line with DIN 66399 and you receive a destruction certificate for your GDPR records.
Clearing out the firm's archive?
One phone call is enough — we will ask for the approximate number of binders, propose a collection date and a one-off or ongoing arrangement. You can also read more about our document destruction service.
