Find answers to the most frequently asked questions about our document destruction services.

1. How much does document shredding in Warsaw cost?

Shredding up to 200 kg of documents costs PLN 400 net. That price includes collection from your premises, loading and the certificate of destruction. Above 200 kg we charge by weight – we weigh the documents on an electronic scale on site, in front of you, so you pay for the actual quantity. Within Warsaw there is no transport charge. For Piaseczno, Pruszków, Otwock, Legionowo, Grodzisk Mazowiecki we add PLN 100 net; other locations are quoted individually.

2. What documents can be handed over for destruction?

We destroy all documents containing personal data and confidential information, including: personnel files and HR documentation (employment contracts, payrolls, employee files), financial and accounting documents (invoices, contracts, tax declarations, reports), medical and legal documentation, binders, folders, files and computer printouts. Besides paper documents we also destroy electronic media: HDD and SSD hard drives, CDs/DVDs, pen drives, memory cards, phones, tablets and laptops.

3. How does the document shredding process work?

The service is carried out in a few simple steps: 1. Contact and quote – you call or write, we agree the date and price. 2. Collection – we come to your company and handle the loading ourselves. 3. Transport – documents are transported in closed containers or sealed bags. 4. Destruction – documents are destroyed at our facility with an industrial shredder, in accordance with DIN 66399. 5. Certificate – we issue a receipt protocol and a certificate confirming destruction. The entire process is overseen by a supervisor, guaranteeing full confidentiality.

4. How long does the service take?

We collect documents on Tuesdays and Thursdays – those are the two days our driver is on the road. An order placed in advance is handled on the nearest of those days, and we confirm the exact time when you book. If it is urgent, say so when ordering and we will try to fit you in.

5. Can I be present during document destruction?

Yes, that is possible. You can deliver the documents to our facility in person and watch them being destroyed. Our facility is located about 60 km from Warsaw. Please arrange the date by phone in advance.

6. Do you collect documents from company premises?

Yes – we come to the address you give us and carry the documents out ourselves. You do not have to pack anything, move anything or arrange transport. We work in Warsaw and across the Mazovia region. Within Warsaw collection and loading are included in the price. Outside Warsaw we add transport: PLN 100 net for Piaseczno, Pruszków, Otwock, Legionowo, Grodzisk Mazowiecki, other locations quoted individually.

7. Will I receive a certificate after the documents are destroyed?

Yes. Every service ends with two documents being issued: a document receipt protocol – confirmation that we accepted the materials for destruction, and a certificate of destruction – confirmation of proper and secure destruction. Both documents serve as proof of fulfilling the personal data protection obligation under GDPR and can be presented during a data authority inspection.

8. Is document destruction a legal obligation for companies?

Yes. Under GDPR (General Data Protection Regulation) every personal data controller is obliged to ensure secure erasure of data whose retention period has expired. Throwing documents containing personal data into an ordinary bin, or their unauthorised disclosure, risks a financial penalty from the data protection authority. Professional destruction with a certificate documents fulfilment of this obligation.

9. What is the DIN 66399 standard and why does it matter?

DIN 66399 is a European standard defining security levels for data media destruction (from P-1 to P-7 for paper). The higher the level, the smaller the fragments – and the harder it is to reconstruct the information. Companies processing personal, medical or financial data should use at least class P-4 for paper documents. Our services comply with the requirements of this standard.

10. Do you destroy hard drives and other data media?

Yes, we offer physical destruction of electronic media, including HDD and SSD hard drives, CDs, DVDs and Blu-ray discs, memory cards and pen drives, phones, tablets and laptops. Physical destruction of the medium is the only method guaranteeing data cannot be recovered – formatting and logical deletion are not sufficient from a GDPR perspective.

11. How long must company documents be kept?

Document retention periods are regulated by law: employee personnel files – 10 years (hired after 1 Jan 2019) or 50 years (hired before that date); social insurance and tax records – 5 years; invoices and accounting documents – 5 years; commercial contracts – at least 6 years (limitation period); medical records – 20 years. After these periods expire, documents must be securely destroyed in accordance with GDPR.

12. Do you operate outside Warsaw?

Yes – we cover the whole Mazovia region. We travel to Piaseczno, Pruszków, Otwock, Legionowo, Grodzisk Mazowiecki for PLN 100 net in transport, and each of those towns has its own page on our site with local collection details (in Polish). Other locations are quoted individually – just give us the address when you order. For larger jobs we also travel to other regions of Poland.

13. How do I order the document shredding service?

14. Do you operate in compliance with GDPR?

Yes – all our processes have been designed with full GDPR compliance in mind: documents are transported in closed, sealed containers; the entire process is overseen by a dedicated supervisor; we issue a certificate of destruction as proof of fulfilling the obligation; destruction is carried out in accordance with DIN 66399.

15. What is the minimum order size?

There is no minimum order – we handle both a small office with a few boxes and a company with several tonnes of archive. The basic package is up to 200 kg for PLN 400 net, which works out at roughly 100 averagely filled archive binders or 20 archive boxes – we weighed them, an averagely filled binder comes to about 2 kg. If you are not sure how much you have, call us and describe how much space it takes up. We will work it out together.

16. Do I have to remove staples, paper clips or take documents out of binders?

You do not have to prepare anything. Hand the documents over exactly as they are – with staples, paper clips, in punched pockets, folders and ring binders. The same goes for bins: you drop everything in without taking it apart. Our industrial shredder handles it without trouble, and you save hours of work – with a few dozen binders, taking the pages out is a full working day.

17. Can I rent a document collection bin?

Yes – we deliver a lockable bin to your office for 7 days at PLN 300 net per bin. It holds about 100 kg of paper, roughly the contents of a large filing cabinet. You do not need to take anything out – staples, pockets and binders can stay, it is just that binders take up more room than loose sheets. After that we collect the bin with its contents, shred the documents and issue the certificate of destruction.

18. Do you sign data processing agreements?

Yes, at the client’s request we sign a data processing agreement compliant with Art. 28 GDPR. You can download the template from our website: Download the DPA template (DOCX, in Polish).
